TipReports is a cloud based application designed to allow employees to automatically clock in via their phones bluetooth and provide Food & Beverage managers an alternative way to calculate the tips and gratuities earned for each shift. This will save time and the headaches that revolve around using Microsoft Excel to run your payroll. The website is easy to use and allows both Managers and Staff a fully transparent way to view your companies tip pooling and time clock system.
Below is a basic overview of the clock-in system:
-Any Manager and all staff will download the app for Android or iPhone
-We will install “iBeacons” in the areas that you designate your staff for ‘clocking in’ or ‘clocking out’.
-The Manager will input all staff schedules in the App (for creating the schedule, an iPad works best)
-The Manager controls how early or late an employee can clock in through the app….for example, an employee that is scheduled at 10am can clock in at 9:45am at the earliest and 10:15am the latest. This is a standard 15 min grace period. You can control this for your needs to any amount of grace period time.
-All staff will have an up to date schedule via the App on their phones, at all times…even if changes are made
-A staff member that is scheduled at 10am arrives to work at 9:53am and passes by a nearby beacon.
-The staff is automatically clocked in and a time-stamp created.
-When the employees shift is over and they exit the building, their phone gets the signal from the “clock out” beacon and automatically clocks them out.
-You will have full reports in real time of who is clocked in, the duration and many other reports related to the employees hours worked.
The iBeacon is a small device that is battery operated (which lasts around 3 years) that sends and receives signals from nearby smartphones. Our app is designed to look for beacons and create an automatic response when one is nearby…such as ‘clocking in’. When an employee walks by a beacon that is setup as “Clock in” AND the employee is scheduled to work at that time, the system automatically clocks the employee in. If they walk through the exit door around the time they are scheduled to leave, the system will automatically clock them out when they pass by the “clock out” beacon.
In addition to everything mentioned above, our “TipReports” system calculates all the tips for each member of staff who work in a restaurant or bar. The App utilizes the built in time clock system and only requires a manager to enter the employee (server or bartender) gratuities at the end of each shift. The App does all the calculations for each position (bartender, barback, server, busser, runner, etc) and displays the info for each employee to see. Employees can only see their own info….this will allow for FULL TRANSPARENCY of how the tips are handled. Our App will save restaurant managers a minimum of 50% the time it takes to process the tip reports. The staff will know where their money is coming from which in turn can prevent lawsuits and/or payroll mistakes down the road. Thus saving time AND money!
