About this app
Qilo is the management app for wholesale food distributors. It replaces Excel spreadsheets and scattered WhatsApp messages with a single place where everything is in one place: what you sold to each customer, how much they owe you, what's in stock, and how the day's cash register closed.
It's designed for use in the truck, not sitting in an office. Large buttons, few steps, and the important information is right there in front of you.
CUSTOMERS AND ACCOUNTS RECEIVABLE
Each customer has their own profile with address, contact information, assigned price list, and any exceptions you've made for each product. The accounts receivable track separate delivery notes, invoices, and factory payments, plus the consolidated total balance, so you always know how much they owe you and for what reason.
Payments are automatically applied in the order you define, without double counting and without having to manually decide what each payment covers. If a customer overpays, the difference is credited to their account and applied to their next purchase.
SALES AND DELIVERY NOTES
You record the sale at the time of delivery, with the price corresponding to that customer according to their price list. You can apply line discounts and a surcharge per invoice when necessary. You issue the delivery note and share it instantly via WhatsApp or PDF, without needing a computer.
DELIVERY ROUTE
You plan the day's route with the stops in the order you'll make them, and rearrange them by dragging and dropping. If you're going out with more than one van, you can have several routes on the same date, each with its own designated driver.
At a glance, you can see who you've already issued a delivery note to, who you've already paid, and how much each customer owes. Before leaving, the app generates a list of what needs to be loaded into the vehicle, totaling all pending orders, and you check it off as you load the merchandise.
DAILY CASH REGISTRATION
Closing the cash register involves counting bills by denomination and comparing the difference to what the system expected. Each route has its own register, and the overall register totals the entire day: office plus all delivery vans. You also record cash-in expenses and income.
STOCK MANAGEMENT
Stock control by unit or by weight, with minimum and target stock levels for each product. A traffic light system shows you what's low and what's about to run low. You have a complete history of transactions: what came in from each purchase, what went out with each sale, and what was manually adjusted, with details for each day.
PURCHASES FROM SUPPLIERS
You enter the purchase, and the stock is automatically updated. The app suggests what to buy from each supplier based on what's needed to reach the target, and you adjust the quantities before confirming. You can save the order as a note to send to the supplier before the merchandise arrives.
PRICE LISTS
You define the profit margin per product and per list, based on the delivery note or invoiced price. Prices are automatically recalculated when you update a cost. You share each client's price list via WhatsApp or PDF, choosing which products to include.
MULTIPLE USERS, EACH WITH THEIR OWN PERSONALITIES
Add users to your team with permissions by department: the salesperson sees their route, the warehouse manager sees the stock, and you see everything. Your company's data remains isolated from any other company's.
WORKS OFFLINE
If you lose your connection during a delivery, you can continue recording sales and payments. When the signal returns, it syncs automatically, without you having to do anything.
