TaskFlowManager, The world’s best program for the cleaning industry. TaskFlowManager starts out by making every process easy. Importing all your company data into a program for billing, payroll, customers, supplies, billable, budgets, inspections, checklists and of course a single communication source for employees, managers and supervisors. In TaskFlowManager, when starting out, you create your first building with the location, input all the building information along with the contact for the customer. Once you have done this, you can create your first template. The template is for the specifications you are required to perform during cleaning. All the specifications should be entered, this creates a checklist and inspection template for your employees. Scheduling non-routine work can be done at the same time based off contract specifications or additional items like floor work, carpet cleaning etc. The checklist will be utilized by the employees nightly to verify all work is complete. The inspections will be utilized by the quality inspector verifying all work is performed adequately. The contact in the building may also perform an inspection to verify all work has been completed. Next all approved supplies should be added along with the vendors who provide these supplies. At each location you can add the supplies to the location for easy supply ordering by an employee, supervisor or the building contact at the location. These supplies can be marked as billable or non-billable per location for easy accounting. At this point you can then create a contact for the location. Once the contact or building contact is created you can send a login directly from the contact page in TaskFlowManager. This allows the contact to see the information regarding their location, from training to contracts, the checklists to inspections and of course creating work orders for any deficiencies in cleaning that may occur. The next step is assigning an employee to this location. All the employee information is required. The location then has the employee, contact, checklist, and inspection checklist attached to the building. The training vault is the next item to be completed. Company videos should be uploaded into the vault along with any documents needed for the building location. A quiz can be developed after each video to show proficiency based on the video information. The pass/fail of each quiz will be logged along with the employee information and time. The chat functionality will already be set up and a simple check box verifies employee can chat with their supervisors. The permissions for chatting will be accessible in the top of the page for the supervisors or client contact to directly chat. The app will need to be downloaded for employees use for inspections and clocking in. Once the app is downloaded the employee will use Geo fence which is logged by the location of the building to clock in using a QR code located in the building. If no cell reception is accessible the app will log the times and upload once reception is gained.
