Have you ever organized an annual gifting event like a Secret Santa, for the family or for your company staff?
If so, you know that the idea is simple, but the execution can quickly become a complex nightmare! Basically, each participant in a gifting group buys one gift for one other participant instead of buying gifts for everyone.
This is the way it's supposed to work:
• The organizer writes each participant's name on a slip of paper and drops it into a hat or box.
• After stirring the contents, each participant randomly draws a name from the hat. If it's his/her own name, they throw it back in and draw again.
• Each participants buys a gift for their pairing, wraps and labels it, and brings it to the event.
• The gifts get distributed with much fanfare, and everyone leaves happy!
In reality, this is what happens:
• Writing names of all participants on slips of paper becomes a giant pain.
• Keeping track of contact info means the organizer has to start a spreadsheet or database.
• Participants can never all get together for a physical drawing unless the group is really small. Instead, the organizer(s) do the drawings and record results on a spreadsheet ... and then send them out via emails (getting really complicated!).
• If organizer(s) do the drawings, nothing stops them from "tweaking results" in their favor ...
• Especially in large family events, participants quickly grumble about their pairings: "Buying for my own immediate family member is ridiculous! We already exchange gifts in our own party." "I bought for this person last year!" "No ... please don't make me buy for him!" "I have no idea what to buy her. Why don't you provide wishlists with the names?"
• At the event itself, there are ALWAYS people who go away sad and empty-handed because their gifter forgot to buy something.
• The organizer quickly burns out and tries to find a replacement ... or cancels the event entirely!
