Create certificates in minutes by ticking boxes and using presets. Capture the customer’s signature on your device and record payment method, future appointment dates, and the price of each appliance sweep and any extras. Set up your common extras and prices once, then tap to add or remove them per appliance - totals and VAT (if you’re VAT registered) are calculated for you. Upload your own graphics so certificates and notices show your business and billing details. When you’re ready, generate the certificate; it’s attached to a draft email to the customer for you to edit and send. Certificate creation works offline, and emails wait in your Outbox until you’re back online. For unsafe appliances, generate and send a warning notice from the same flow.

Manage your full customer database on the website and app - details, appliances, sweep history, and photos. Schedule by customer or by area (e.g. postcode), see distance from your base to each job, and optionally use distance-based pricing. Link a Google Calendar so appointments created or updated in Sweep Certificates sync to your calendar. Use Portfolios to group customers under one contact and control who receives reminders and certificates and who is billed.

Reduce no-shows and bring customers back on time. Reminders to book go out automatically before an appliance is due. For booked appointments, send reminders by email and/or SMS as many times as you like in the days and weeks before the date. Booking confirmations go out when you create or change an appointment; you can also send cancellation confirmations when an appointment is cancelled or missed. Customise all messages to personalise for your customers. SMS costs 4.5p per message and is billed monthly.

Create professional invoices for sweep and non-sweep appointments. Add invoice instructions (e.g. payment details), record deposits and payment method, and mark jobs as paid. View payments by date range with totals and charts, and export certificates and invoices for a period. Optional weekly payment summaries help you chase outstanding payments.

Use the Reporting section to understand your business: seasonal patterns, appliance and fuel mix, due and overdue work, customer growth and retention, appointment and completion trends, revenue and payment patterns, cancellations, and forecasts so you can plan from bookings and due dates.
