Create projects that map to your goals

When you open the app for the first time, it will suggest “Parent” projects like Home, Work, and Education. Start creating specific projects within those buckets by tapping the plus sign next to “Projects.” Give it a name (“Housecleaning,” for example) and description, choose which Parent it falls under, and then tap the checkmark. Work-life balance: check.
Tip:
To create a new Parent topic area, simply create a project, and make sure “No parent” is selected.

Add tasks for your various projects

Next, create tasks for your projects. Tap the red plus button while in a project, add a name and description, then hit the send button. You can also sort tasks into projects by adding a hashtag at the end of the name followed by the project name (e.g, “Clean bathrooms #Housecleaning”). Or, jot down a task quickly in the Inbox, then categorize it later by selecting it, scrolling over to “Move to,” and choosing a project.

Make routines (and turn them into habits)

Add a deadline when you create a task by tapping “Due Date,” then selecting a date and time from the calendar. Alternatively, you can just type in the deadline at the end of the task name, wait until the text is highlighted, then tap the send button.

Have a recurring task? Turn it into a routine by typing in how often it needs completing. For example, if you’re a fitness enthusiast, create the task “Ab workout every Monday and Friday at 6:30pm” to add it to your schedule.

Add sub-tasks to break down your workload

Add more detail to a task you’ve created by tapping the “Add sub-task” button. That ab workout you added to your routine? You can break it down into individual exercises, such as “Do 1 minute of bicycle crunches” (or even: “Pat yourself on the back and take a breather”). Overwhelmed trying to tackle housework? Divide it into manageable chunks by creating sub-tasks for each task, which you can check off in the app as you go.
Tip:
Try using Todoist on your smartwatch next time you go grocery shopping – just create a task called “Buy groceries today,” then add each item on your list as a sub-task. Quickly view items you need to buy when you’re at the store, then check off things on your watch as you add them to your cart.

Take on tasks as a team

You can also invite people to collaborate on a project – household cleaning duties, perhaps? – then assign them tasks. If you have notifications turned on, you’ll get an alert when the task has been completed. To see all the tasks assigned to an individual, tap the three dots by a project’s name, then select “View.” You’ll then be able to filter by assignee, or group by any labels and priority flags you’ve added.
Todoist is extremely flexible. Tap the gear icon to access Settings, where you can customize your navigation menu, set productivity goals, and specify notifications. After you’ve set everything up, get started on your to-do list, checking off tasks as you complete them – hello, dopamine rush.
