Committees do not lose their paperwork. They lose the knowledge of who has it.
handoverfile is a register for the people who run a small organisation: who sits in which seat, which of the organisation's things each person physically holds, and which dates are coming. When someone stands down, the register says exactly what would walk out of the door with them.
SEATS
Chair, Secretary, Treasurer, Safeguarding lead, Data protection lead, and any office you add. A seat with nobody in it is called vacant in plain words, because the empty seat is the thing that causes the trouble.
CUSTODY
Every thing the organisation cannot simply replace has a holder, or it has nobody: the governing document, the minute book, the insurance policy, the lease, the bank mandate, the cheque book, the keys, the card and PIN, the safe combination. Each record keeps where the original physically is, and whether it has been proved or only reported.
DEADLINES
Annual obligations that belong to a person, not to a calendar. Each one names the body that sets it and links to that body's own page, so nobody has to take the app's word for a date.
THE HANDOVER
A pack for one person leaving. It closes only when every item on the old holder's list has a new holder and a date. Export it as plain text and hand it over before the last meeting.
WHO IT IS FOR
Village halls, PTAs and school committees, sports clubs, parish councils, small charities, residents' associations, and limited companies where one unpaid secretary is holding everything at once.
FREE AND PAID
The free register holds up to 6 people, 20 things and 6 deadlines, which is enough to run a small committee. One annual plan lifts those limits. Google Play handles the billing, and you can cancel there at any time.
WHAT IT DOES NOT DO
No account. No analytics. No advertising. Nothing is uploaded: the register lives on this phone until you export it or share a handover pack.
Dates are entered by the committee and are not legal advice. A seat shown as vacant means nobody has been recorded in it, not that the office is lawfully empty.
Who holds what in your committee: seats, custody, deadlines, handover packs.
